Nearly ten years ago, Elecnor battled frequently with documentation delivery delays. “We struggled to get documents to the office quickly for proper recording and long-term storage,” explained Mikel Pellitero Espinosa, High Voltage Live Work Technician for Elecnor. Seeing the need for a digital solution, the Elecnor High Voltage Live Line Works Department team discovered GoFormz. “We had multiple options to choose from GoFormz’s versatility and user-friendly interface is what brought us to the platform,” explained Mikel. Elecnor was especially interested in the GoFormz platform’s ability to maintain the formatting of its existing documents, simplifying the operation’s transition from paper to digital. “What really convinced us was how similar the digital form was to our original paper version. GoFormz was quickly adopted by the Elecnor Live Line Works team who then deployed this initiative company worldwide. “GoFormz was well-received simply because of the similarity it had to paper. While Elecnor leverages GoFormz for various processes, including safety documentation, and payroll, Live Line Works job briefings are its most essential digital form use case to date. “We start with a briefing checklist and a section to describe what to expect. We also attach pictures, use drop-down menus, and are using audio fields,” explained Mikel. By utilizing powerful features like Image fields, the Elecnor team can capture before-and-after photos, providing clear evidence and credibility for completed work. Additionally, checkboxes are an excellent way to keep data organized and systematic during lengthy checklists.
“We have a lot of subcontractors work with us on bigger jobs. Having these tablets is huge for us because we can share our briefings with them by simply giving them a tablet or sharing a link to the form for them to fill out,” explained Mikel. “It’s really important that everything about GoFormz is automatic. You receive the digital form instantly rather than months later when you’re working with paper forms,” explained Mikel. “When relying on paper, sometimes you couldn’t even find where a document was, and it would be lost. If you can’t find the form, you can’t get paid. That’s the first thing our customers ask for, to review the briefing and see the pictures of what we did.”

As a part of their digital job briefing process, the Elecnor team utilizes Audio fields for their pre-work talks. “We built pre-work talks into our digital job briefings. So every morning, they have a 5-10 minute talk about what they are going to do, what safety hazards they have, what issues they are aware of, and then how to solve them,” explained Mikel. Recording pre-work talks ensures that experienced workers share their knowledge with others and helps establish legal documentation in case of incidents. “We don’t have accidents that happen, but in the instance that it does, we can use the recordings for a legal perspective to show that everyone properly understood the work they were supposed to do,” explained Luis Fernando. The audio recordings serve as evidence that proper procedures were communicated and understood by all team members before the job.

Elecnor now has approximately 60 different form Templates within GoFormz, and has submitted nearly 140,000 forms in Spain alone. When these forms are completed, Elecnor uses Automated Workflows to streamline the flow of information. “We use both OneDrive and Google Drive to upload our documents into Cloud storage. We also send emails automatically and attach documents within those emails,” explained Mikel. Auto-emails are an effective way to route real-time data to the right individuals within an organization. “We also use the open API connection with our internal database program so that there is an easy access point for the rest of our data.”
Since implementing GoFormz, Elecnor has experienced significant time savings. "Time savings are one of the most important benefits. We can now process locations, photos, and completed work on the same day. Previously, it could take up to three weeks, or even a month, to receive paperwork from the field, certify it, and send it to the customer for payment,” explained Mikel. “Now, everything can be handled instantly. This efficiency also translates to financial savings by improving cash flow and making it more realistic. So yes, saving time naturally goes hand in hand with saving money."

The ability to document and save pictures of rented equipment and vehicles has helped in legal matters and defending against claims. "When we receive or rent a vehicle, we now have our employees take photos to document its condition,” explained Mikel. “Previously, we faced penalties for damages when returning equipment, even if the damage wasn’t our fault. Now, when we rent a vehicle or equipment, we take and save photos at the time of pickup and return,” explained Luis Fernando. “This process has been crucial for protecting ourselves legally and avoiding unnecessary costs. It's really about saving both money and peace of mind."
